For obtaining certificates for Address proof, opening of bank account, ration card, PAN card and such identity documents, the faculty member can write to the Registrar / Deputy Registrar/ Assistant Registrar in the Administration. For obtaining No Objection Certificates (NOC) for interview or visa purposes, the faculty member is advised to write to the concerned section of Administration through the Dean (Faculty). Application is required to be endorsed by your respective HoD before sending forward.
The faculty is encouraged to develop good relations with the industry. The Institute permits the employees to serve on company boards as Director. However, prior consent from the Director is mandatory before taking up such a position. For more details, please refer to the faculty handbook
A faculty is expected to maintain appropriate conduct when interacting with colleagues and staff members of different gender. The interaction with all students, regardless of their gender or sexual orientation, must be respectful. As a supervisor, you are also responsible for the conduct of the staff and students in the group and ensure none of them are involved in any acts of sexual harassment. If you experience or witness sexual harassment, you can report it to the Gender Cell Internal Complaints Committee (GC-ICC), the Director, Deputy Director, Dean (Faculty), or seek redress under the Indian Penal Code. The Institute offers consultancy services to industries, Government academic units, National and International agencies in all areas of expertise available in the Institute. These professional services have certain obligations and ethical requirements.
The General Financial Rules (GFR) govern expenditure and payment of public money in government departments. These rules are detailed on the Department of Expenditure Ministry of Finance. Faculty members of IIT Bombay should know these rules when dealing with funds, especially from government sources, for research programs or academic unit/Institute purposes. IIT Bombay provides the facility of various types of leave to employees during their service. Leave needs to be sanctioned by the competent authority via ERP. Here are some guidelines. For details, go though the faculty handbook

Casual leave: Employees can take up to 8 days of casual leave in a calendar year, with a maximum of 5 consecutive days.

Special casual leave: Faculty members can be granted up to 15 days of special casual leave for legitimate academic/administrative reasons such as attending conferences, undertaking examinership in an university, etc.

Vacation: Faculty members are entitled to 60 days of vacation during the academic year (July to June). If a faculty member does not avail the full 60 days vacation in any academic year, 1/3rd of unavailed vacation is converted to earned leave.

Earned leave: Earned leave can be taken at any time during the year with prior sanction. It is accumulated by not availing entitled vacation. Up to 300 days of earned leave can be accumulated, and it can be encashed at the time of superannuation or for limited purposes like LTC.

Special leave and sabbatical leave: Faculty members can take long leaves up to three years for academic purposes. Special leave is for academic assignments abroad, while sabbatical leave is for academic assignments or writing books. A bond is required, and certain conditions and requirements must be met.

Maternity and paternity/ child care leaves: Female employees can take up to 180 days of maternity leave, and male employees can take 15 days of paternity leave. Additional leave can be granted in certain cases. Women employees and single male employees can be granted child care leave for up to 730 days during their entire service to take care of their children. Approval is required, and specific conditions apply.

Initial Joining formalities at IIT Bombay (Faculty position) :
The individual must notify Faculty & Support Services section and the Head of the relevant Academic Unit of their joining date in advance. This is necessary to arrange accommodation in the Guest House for the initial period.
On the first day of joining, the individual should complete and submit the Joining Report Form through the Head of the Academic Unit to the Faculty & Support Services section for further processing.
Additionally, the individual is required to visit the Faculty & Support Services section, located on the 3rd Floor of the Nandan Nilekani Main Building, to complete initial joining formalities.
Self-attested copies of the following documents will be provided to Faculty & Support Services section on the day of joining:
1. Bachelors, Masters, Ph.D., and Date of Birth (10th passing or Birth Certificate),
2. Passport copy, Aadhar Card, Pan Card, and Category Certificate (if applicable)
3. Experience certificate as mentioned in the Application form (if not submitted earlier).
4. Bank account details (SBI/Canara bank)
5. Bring 6-8 Passport size photographs (for I-card, Attestation Forms, etc.)
6. Relieving Letter and Last Pay certificate from Previous organization (if Applicable)

The annual appraisal process in the institute is in the form of a self-assessment. The form includes mandatory sections on Teaching, Research and Administration and optional sections on Professional And Extensional activities. This self-assessment is reviewed by the IFAC at the end of 3 years. It may be used as a basis of selection by the IFAC for higher posts. Please refer for more details here.
The Dean (Faculty) announces the schedule of the faculty assessment and career progression after obtaining approval from the Director. Faculty members meeting the minimum qualifications and experience criteria specified by the Ministry of Education (MoE) are invited to submit applications for the respective position. The application form requires candidates to provide information about their work during the assessment period in their current position.
Experience Requirements :
Professor: Minimum 10 years of teaching/research/professional experience, including at least 4 years at the Associate Professor level in a research organization or industry. The candidate should have demonstrated research leadership in a specific area of specialization, have adequate PhD student guidance, publications in reputable journals and conferences, patents, laboratory/course development, and other recognized professional activities.
Associate Professor: Minimum 6 years of teaching/research/professional experience, including 3 years at the Assistant Professor Grade I level or equivalent in a research organization or industry. The candidate should have demonstrated independent research experience through M.Tech. and PhD student guidance, publications in reputable journals and conferences, patents, laboratory/course development, and other recognized professional activities.
Shortlisting Process: Each academic unit has its own shortlisting criteria which is approved by the IFAC (Institute Faculty Advisory Committee). The applications submitted by the internal candidates are first shortlisted by their respective academic units which recognizes the contributions of the candidate in research, teaching and services rendered to the department/ Institute. In addition to the performance criteria, they should have guided at least one PhD student (for the post of Associate Professor) or two (for the post of Professor). The IFAC consists of the Director, Dean Faculty, and the Dean ART. After the academic unit review the IFAC review occurs which requires 8 peer reviews. IFAC takes into account the shortlisting done by the academic unit and also verifies if its criteria has been satisfied. After peer review, appearance before a selection committee and interview, the selection committee recommends the career progression of the candidate.

Confirmation & Regularization
- A faculty member recruited to any cadre is placed on probation for a year. The appointment will be confirmed at the end of the year after a form containing the academic accomplishments is submitted to the Dean Faculty through the Head of the academic unit.
- If you were appointed as an Assistant Professor Grade-II (because of the lack of 3 years of experience post PhD), the position will be confirmed after the completion of the required period and the submission of a form with the academic accomplishments during the period to the Dean Faculty through the Head of the academic unit.

NPS is applicable for all employees who joined the institute on or after 1.1.2004. The funds are managed by the National Security Depository Ltd (NSDL). An individual account number known as PRAN (Permanent Retirement Account Number) is opened in the name of the employee to which he or she contributes 10 % of his emoluments every month and 14% is contributed by the employer. This account number provides two personal accounts such as a mandatory Tier-I pension account and a voluntary Tier-II savings account. The NPS is portable and can move as you move jobs. You are expected to maintain a high degree of decorum and integrity as you are a faculty member of a premier Institute of the country. Here are a few pointers on the code of conduct.
Matters of general conduct :
1. It is advisable not to approach the media, printed or visual regarding any issues or views, other than articles of scientific, literary or artistic value. If you wish to express your views on an issue, you need to take the director’s permission.
2. You are not permitted to join any political party or canvass in elections. Contesting an election in a professional body is however allowed.
3. Criticism of the institute in mass media is not welcome.
4. In case of a grievance, the proper sequence for addressing is to approach the head, concerned dean, director, and chairperson. In extreme cases, you may escalate your grievance to the visitor, who is the President of India. Please follow the procedure given in the faculty handbook. You may seek to legally redress grievances without any permission. However, it is advisable to first explore all possibilities of resolving your issues within the internal framework.
5. Though the institute encourages the use of social media for disseminating information about the Institute and further its goals, it should be done in a manner that prevents misuse of the social media for unintended purposes and with appropriate authorisation. When you join as an Assistant Professor, the Institute and the academic unit provide certain facilities to help you settle in and start your research efficiently. These facilities include a seed grant of ₹20,00,000 and support for one PhD student in the project mode, the office space, and reduced teaching load in the first semester.
At the same time, the Institute expects the new faculty members to secure at least one independent research funding within approximately one year, independently handle (as the sole instructor) at least one teaching-intensive course within the first two years, and demonstrate research productivity through lab development, relevant publications, and evidence of research guidance (such as PhD scholars and completed Master's projects) within a reasonable time period based on the nature of your work.
